Settings for updating the data cache

This dialog can be opened via [Properties (Folder) > Cache]. The "Cache" tab will also appear when you add a new data source.

Option: "Data source has a query limit"

Whether a query limit exists is automatically detected when the data source is first accessed, and a corresponding message will be displayed on the "Cache" tab. 

If a query limit has been automatically detected, the option "Data source has a query limit" in the "Advanced Settings" section will already be enabled. If this option is not enabled, but you are certain that a query limit exists, you should enable it. A message window may appear asking you if you want to adjust the settings accordingly.   

Options for: "Updating data records during a search query"

The following options must be enabled:

  • "Query to retrieve all data records matching the search criteria"
  • "before search query"
  • "vor Rufnummern-Suche bei Anruf"
     
Option: "Periodic update" for data sources with query limit

A prerequisite is that the data source has a field containing the timestamp of the last modification of a record, and that it supports querying for new and modified records.

For data sources with a query limit, the mode is set to "update only changed and new records" and cannot be changed. For data sources with a query limit, the mode is set to "update only changed and new records" and cannot be changed. This also applies to manual updates using the F5 key. Consequently, the "Refresh folder" function (via Shift-F5) is not available.

If the data source does not support "Querying for new and modified records," then "Periodic refresh" should be disabled. Even manual updating using the F5 key is not possible. In this case, the data records in the local cache will only be updated if:

  • In the "Update individual records" section, the "When a record is selected" option is enabled, and the relevant record is selected in the phone book.
  • A data record is opened in the input form.
  • During a search in the data source, entries are found that are already present in the cache.

Search initiation method for search lines

This method can be selected in the [Options > Search] dialog box. This setting determines under which conditions a direct search in the data source will be initiated. This applies to the search bar in the phone book, the search window, and the phone dialog.

The search starts automatically as you type. This is the most convenient method, as it always searches both the local cache and the data source simultaneously. Please note that any change in the search bar (after a short delay) will trigger a new search, even if the complete search term has not yet been entered. This can lead to unnecessary strain on the data source. Furthermore, querying an online data source is significantly slower than searching the local cache. Therefore, the smooth input and display of search results may occasionally become somewhat sluggish.
 
with the Enter key The search in the data source only starts when you press the Enter key, even if the search in the local cache has already started automatically and search results may already be displayed. This allows you to see if the desired search result already exists before you expand the search to the data source.

Restriction: In the phone directory, pressing the Enter key initiates the search only when searching for a name. If a phone number has been entered, the "Dial" function will be executed. In this case, the search must be started using the down arrow key. If the list of search results is already displayed, you can also use the Enter key for phone numbers.
 
using the F5 key Using the F5 key to initiate the search is another method to start the search in the data source explicitly, and only when needed. This method is always available in addition to the "Automatic" and "Enter key" methods, and it works consistently across all search fields. Regardless of whether you search by name or phone number, or whether a list of search results is already displayed in a pop-up window.

Especially when multiple address book folders are present, it can be useful to only initiate a search in the data source if no results were found in the other folders.
 


Important note regarding full-text search

Full-text search directly within the data source is not supported. Searching within the data source only occurs if a field filter is selected, specifying specific fields such as name, first name, company, or phone number. Searching with the "Full Text" or "All Fields" filter is performed only on the local cache.

The basic configuration includes some simple filters for searching by name, company, and phone number. You can add more fields to these filters or create new filters with the appropriate fields.

The field filters for the search bar in the phone book and search window can be customized under [Options > Search]. The search bar in the Phone Dialog has a fixed field filter assigned to it. This can be adjusted under [Options > Telephony > Advanced Settings > Search in these fields...].


Hinweise zur Rufnummern-Suche bei Anruf

When using "Caller ID lookup", the system first searches for a matching entry in the local cache (across all phonebook folders). The search in the data source will only be initiated if no matching record is found in the cache. Searching in an online data source (e.g., an LDAP server) typically takes significantly longer than searching in the local cache. Die Suchzeit kann etwa 200-500 Millisekunden betragen oder je nach Serverauslastung und Netzwerkverbindung auch höher liegen.

This may result in a delayed display of contact information, such as name, first name, or company name, in some components:

  • In the phone call dialog, an incoming call is initially displayed only with the caller's phone number. The display of contact information may be delayed.
     
  • Initially, the Notes window will only display the notes tabs that are related to the phone number. Contact-related notes may be displayed with a slight delay.
     
  • The start of the interworking sequence is delayed until the search in the data source is completed. If the search takes longer than 2 seconds, the sequence will be executed even without the data record and the corresponding contact information.
